Classes T&Cs

Just a heads-up: when you book your first class with us, you’re agreeing to our terms and conditions. All updates regarding classes will come via email. 

It's important to let us know of photo preferences and medical conditions before visiting Coldstream. Please fill out our mandatory forms which will automatically be requested when you complete your booking via the Omnify booking platform. If there are any changes to medical records please let your instructor know before the class starts. 

Cancelation & Refunds T&Cs

You can pay via our online payment service (Omnify) when you reserve your initial booking. Ad-hoc bookings for classes are accepted but these must be booked online within 24 hours to manage class numbers, please be aware these could be at a higher cost. 

We do not accept cheques.

Coldstream Pool is under no obligation to refund your money however we will look at each individual case and try our best to refund where possible.

If the pool can’t be used for a short time (like if the instructor is sick, there’s extreme weather, or the pool is temporarily closed), we will do our best to reschedule your class. Coldstream Pool isn’t responsible for any travel expenses you might have.
If we have to cancel a class, we’ll try to offer a replacement at the earliest opportunity or worse case we will give you a credit for a future booking.

If the pool isn’t available for more than three weeks due to circumstances out of our control and we can’t provide any classes during that time we will refund the unused balance of your classes or give you credits for future classes.

Photography

We take your privacy very seriously, we ask all guests to be mindful of others feelings around privacy and stop all photography or filming if asked to do so. 

We love the welcoming atmosphere at Coldstream Pool, so feel free to take photos or videos of your own family & friends but remember to have permission before you do so.
Please do not share any images or footage on social media without gaining guest permission first. 
Please follow us on Instagram and do tag #coldstreampool in your photos and videos as we would love to see them.

No underwater cameras, or underwater recording equipment of any description may be used during classes due to infringement on guests privacy. 

Coldstream Pool forbids the right to reproduce any part of our classes in any form (e.g. on the internet, DVDs, photographs etc). Anyone suspected of continually filming or photographing the classes for any purpose of publication will be asked to stop filming and immediately asked to leave the lesson.

Changing Rooms

All personal property in changing rooms or on poolside is left at your own risk. 
Coldstream Pool will not accept any responsibility for the loss or damage of any personal possessions.

Please ensure all jewellery (except wedding rings) are removed before entering the pool. Full showers should be taken by all swimmers prior entering any pool to remove excess oils etc and to allow the chlorine in pools to effectively work on germs and diseases.

Illness

Should you or a member of your group become ill before a class:

Consult your doctor before coming swimming and inform your instructor. All information received is strictly confidential.

Guests should never swim if they have an ear infection, diarrhoea, chicken pox (all scabs must have gone before returning), impetigo, conjunctivitis or a bad cold, we rely on guests to use common sense when using the pool facility and not to put the health of themselves, their child or others guests at risk. 

 Please get in touch if you are unsure if you can enter the pool due to ill health. 

Please wait until your doctor has given the all clear before returning to the pool.  
In the instance of sickness and diarrhoea guests must be free of all symptoms for a minimum of 48 hours before entering the pool. 

Swimwear

If your child is not potty trained we request that  re-usable / disposable swim nappies are worn, they need to be snug fitting around the waist and legs to avoid any leaks. We require an extra swim nappy to be worn on top of the swim nappy, these are known as nappy covers.

Always change your baby on the floor using the changing mat provided. Never balance your baby on the changing room benches. 

Please take all your used nappies away with you.  Never leave nappies in the changing room bin. 

Adults are welcomed to wear anything that they are comfortable in for swimming sessions. 

Pool Rules

Coldstream Pool, at its own discretion, refuse entry to any guest if that guests behaviour is felt to be unreasonable.

No outer footwear or prams should be taken onto poolside or into changing rooms. Please use blue overshoes (if available) or go barefoot if you prefer.

Please always shower before and entering the water (this includes children). Removing body lotions, perfumes etc. before swimming contributes significantly to maintain water quality.

Whilst you are waiting for your session/class, please keep poolside noise down to a minimum.

Please do not arrive to poolside more than 5 minutes before your session/class.

Do not enter the pool until the current class has finished; please always wait to be invited to do so by your instructor.

You are responsible for the safe supervision of any children you bring at all times: on poolside, in the changing rooms and on the pool premises.

They should always be under direct supervision of an adult and never be left unattended.  Children running on wet surfaces can very easily slip and hurt themselves. 

Data Policies

In the absence of any proven negligence, lack of due diligence or breach of duty by the instructor(s); Coldstream Pool employees, contracted instructors, the participation of you; your spouse/partner; child or those whose care you have placed your child for the purpose of attending or observing Coldstream Pool swimming classes or private sessions  is done so entirely at your and their risk.

From time to time we may update these terms, by sending you either an updated version or notification of minor changes.  You are free not to accept these changes but we would ask you to notify us in writing of your non-acceptance within 14 days of your receipt failing which we will be entitled to treat our agreement with you as being subject to the updated version.

Coldstream Pool is committed to protecting your privacy.  We will only use the information that we collect from you lawfully in accordance with the Data Protection Act 1988.  We follow the strict guidelines in accordance with GDPR and at anytime you can request your data for viewing or to be removed.

We receive, collect and store any information you enter on our website or provide us in any other way. In addition, login; e-mail address; password; computer and connection information and purchase history. We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information. We also collect personally identifiable information (including name, email, password, communications); comments, feedback, product reviews, recommendations, and personal profile.

We reserve the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website. If we make material changes to this policy, we will notify you here that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.

It is vital that you inform us of any medical condition(s) that you, your child or the carer responsible for taking your child swimming may have that might affect your time in the pool. This includes eye sight / hearing changes.  The smallest thing could have a large link within the pool so please do keep us in the loop. All information received is treated sensitivity and in confidence. On booking, you are also agreeing to take responsibility for the fact that anyone who brings your child swimming who has an illness, injury etc. will, if necessary, have taken medical advice before coming.  Please ensure that they also give the teacher any necessary information on the day.
Terms & Conditions Aqua Fitness & Aqua Yoga

A. Exercise Classes

Our Classes start from £7. Details of the sessions available are most readily available on our bookings page or via our social media pages. You can book as often as you wish all sessions MUST be booked online to ensure numbers attending can be controlled. 

B – Medical Question

You must complete a Medical Questionnaire. Please do complete the questionaire and waiver via the Omnify booking system.

On booking any session/classes  and every time you Coldstream Pool during your booked session, you confirm to us that you have no medical conditions known to you that would mean that you are not capable of all forms of exercise and that such exercise will not be detrimental to your health. If in doubt, it is your sole responsibility to consult a medical professional.

C – Payments and Fees

Payments are due within 24 hours of booking and payment will be taken when bookings are confirmed.  

D – Cancellation Policy

If a class is cancelled by us the session/class will be credited to the client automatically. This will come of your next booking at the checkout.

E – Cancellation / Removal by us

We may cancel any booking without notice if you commit a material breach of this agreement including, but not limited to, a breach of pool rules, abuse or threatening behaviour or vandalism or other illegal activity.

We may cancel any booking without notice if any fees or charges remain unpaid 2 days after the session was booked.
We reserve the right to cancel any session/class, if an instructor is unable to attend a session due to unavoidable circumstances. A credit will be added to your account.

F – Opening hours

The sessions plan to run throughout the year, we will have closure over seasonal holidays and bank holidays. Please check social media and email notifications for updates. 

G – Health commitment statement

Your health is your own responsibility, however the team at Coldstream Pool endeavour to: 

Make every reasonable effort to make sure that our exercise facilities are in a safe condition for you to use.

Take all reasonable steps to make sure all our instructors have the required certification. 

We will respect your own personal choice and you do not have to follow what our instructors advise you to do. We will however ask you not to exercise beyond what we think are your own abilities.

Your commitment to us (expected)

You should always exercise safely and to your own abilities.  If you feel ill when using our pool please let the instructor know immediately and if on a private session please call a medical professional and seek advice. 

Our instructors are not doctors but are first aid qualified.

If you have a disability, you must follow any reasonable instruction to allow you to train in a safe environment.

You should make yourself aware of any rules or instructions within the facility. There are risks when exercising. You should not undertake any exercises that you have been told are not suitable for you.

This statement is a guide only. It does not represent a legally binding agreement between you and us and does not create any obligations that you or we have to meet.

We expect all our guests to be considerate, tolerant and compassionate of each other needs. Any behaviour that falls short of this will not be tolerated.
